Driver Qualification Files




Department of Transportation recognized businesses need to maintain the driver qualification file for every employer.


Any driver who operates a vehicle with a Gross Combination Weight Rating or Gross Vehicle Weight Rating of 10,001 pounds or more is needed to have a driver qualification file. If a person is an owner-operator and the only employee of the company then he has to maintain the driver qualification file on its own for himself.
Any FMCSA authorized operator can ask for the driver qualification files, so it becomes very important to maintain them properly and get ready for any time inspection.

Why should you maintain driver qualification files?

In actual it is a very complicated process to keep and update the driver qualification files. The purpose of these files is to ensure that the driver is fully authorized up-to-date to operate any truck safely. The driver’s history can be viewed in these regarding any violation of drug and alcohol policy or any incident at the workplace or while driving any truck. It also gives details about whether the driver has gone through the required training programs or not to ensure the safety of his and the people on the road.

What comes under driver qualification files?

An employment application 

According to FMCSA, the driver must have an employment application filled in his file to ensure that he is considered acceptable to work even if he is the owner-operator or the only employee, he has to fill it for himself.

Driver certificates, Copy of license

Any violation in the last 12 months should be there and the driver’s road test certificate to operate any truck. A current copy of CDL should also be maintained in the file.  

Medically Approved Certificate

All truck drivers of your company must be physically fit to drive any CMV. The certificates are evaluated every 2 years by the National Registry of Certified Medical Examiner recognized medical examiner.

The current and previous record

Keeping safety at the highest priority, it is mandatory to inquire about the obtained records of a driver and the violations that occurred during his work and what action has been taken against the violations by the officials for the previous 3 years.
